Privacy Policy

This policy explains what information Quest Keeper collects, why we collect it, how we use it, and what choices you have. We wrote it for real people, not just for court scrolls.

We collect account and activity data so guilds, quests, rewards, and support conversations can function.

We protect passwords with hashing and use reasonable safeguards for stored information.

We do not sell your personal information. Data is used to operate and improve Quest Keeper.

1. Scope of This Policy

This Privacy Policy applies to Quest Keeper pages, accounts, dashboards, guild tools, quest tools, reward tools, announcements, support tickets, admin-managed systems, and related services. It covers information collected when you browse, register, log in, create or join guilds, create or join quests, upload images, submit support tickets, or otherwise use the site.

Quest Keeper is built for game coordination and fantasy community management. Some information you add is meant to be visible to other users, such as your username, guild membership, guild rank, quest participation, or public guild descriptions.

2. Information We Collect

We collect information in several ways: information you provide directly, information created through your use of the site, and technical information generated by your browser or server requests.

Account Data Username, email address, password hash, first and last name if provided, preferred game, avatar URL, account status, ban reason if applicable, creation date, and last login time.
Profile Progress Level, experience points, gold, quest counts, rewards, activity history, and other progression details used by the Quest Keeper experience.
Guild Data Guild name, description, game, type, rank, membership, invitations, requirements, treasury, banner links, background links, Discord links, website links, and management activity.
Quest Data Quest title, description, objectives, creator, participants, difficulty, dates, rewards, completion votes, progress notes, ratings, and related activity logs.
Support Data Ticket subject, message, category, priority, ticket status, replies from you and administrators, timestamps, and related account identifiers.
Uploaded or Linked Media Avatar files, guild banners, image URLs, and related file metadata needed to display profile or guild visuals.
Technical Data Session information, browser requests, IP address data available to the server, device/browser details, security logs, and diagnostic information used to maintain and protect the site.

3. How We Use Information

We use information to operate Quest Keeper and make the service useful, stable, and safe. Specifically, we may use information to:

  • Create accounts, authenticate users, maintain sessions, and protect access.
  • Display dashboards, profiles, guilds, quests, rewards, announcements, and activity feeds.
  • Enable guild leaders and officers to manage members, invitations, settings, and quests.
  • Process quest participation, quest completion votes, rewards, and progress tracking.
  • Respond to support tickets and keep a history of the conversation.
  • Investigate bugs, abuse, account issues, security events, and policy violations.
  • Improve user experience, page design, workflows, reliability, and future features.
  • Comply with legal obligations and enforce the Terms of Service.
We try to collect what the service needs. A guild ledger does not need every secret in your backpack.

4. When Information Is Shared

Quest Keeper does not sell your personal information. We may share or display information in these limited situations:

  • With other users: information that is part of the service, such as usernames, guild membership, guild ranks, quest creators, quest participants, public guild pages, and visible activity.
  • With administrators: administrators may access account, guild, quest, and support information when needed to operate, troubleshoot, moderate, or secure the service.
  • With service providers: hosting, database, email, storage, analytics, or security providers may process information for Quest Keeper under their own terms and safeguards.
  • For legal and safety reasons: we may disclose information when required by law or when reasonably necessary to protect Quest Keeper, users, or the public.

5. Cookies and Sessions

Quest Keeper uses cookies and session data to keep you logged in, protect forms with security tokens, remember authenticated state, and operate core site features. If you disable cookies, login, dashboards, guild management, quest actions, and support forms may not work correctly.

Some pages may load third-party resources such as fonts or icon libraries. Your browser may request those resources from third-party servers according to their own privacy practices.

6. Security Practices

We use reasonable safeguards for the type of service Quest Keeper provides. Passwords are stored as hashes, form submissions use CSRF protection in supported workflows, and database queries are generally handled with prepared statements.

No web service can promise perfect security. You can help by using a strong password, keeping your email account secure, logging out on shared devices, and reporting suspicious activity through the Help Center.

7. Data Retention

We keep information for as long as reasonably needed to provide Quest Keeper, maintain account history, support guild and quest records, comply with legal obligations, resolve disputes, and enforce our terms.

  • Account data is generally kept while your account exists.
  • Guild, quest, reward, and activity records may remain as part of community history or moderation records.
  • Support tickets may be retained so recurring issues can be understood and resolved.
  • Backups and logs may persist for a limited time after deletion from active systems.

8. Your Choices and Requests

You can update some account information through your profile. You can also contact support to request access, correction, or deletion of account information. Some requests may be limited if information is needed for security, legal compliance, dispute resolution, abuse prevention, or service integrity.

If you leave a guild or delete certain content, copies may remain in logs, backups, completed quest records, support tickets, or administrator records where retention is necessary.

9. Children's Privacy

Quest Keeper is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact support so we can review and take appropriate action.

10. Updates to This Policy

We may update this Privacy Policy as Quest Keeper evolves. When changes are meaningful, we will make reasonable efforts to notify users through the site, announcements, support area, or other appropriate channels. Continued use of Quest Keeper after a policy update means the updated policy applies.
